Job Description
Potomac Hospitality Group seeks to hire a Catering Coordinator that will be responsible for assisting the Executive Leadership of Potomac in the sales, administration, office coordination, and planning of events. Their role will involve direct contact with customers, updating and organizing files, scheduling meetings and managing calendars, writing and proofreading, emailing, maintaining supplies, welcoming guests, assisting with catering sales orders, and more. Catering Sales Assistants should have advanced customer service and advanced computer/technological and communication skills, and they typically have strong time management and organizational skills.
Please note: This is a full-time position that may require some weekend, evening, and holiday shifts. Essential Functions:
● Handling all customer and staff inquiries in an enthusiastic and professional manner.
● Answers incoming calls, handles walk-in inquiries and distributes leads as directed.
● Must be able to work 32 hours per week. Tues - Sat rotating weekends off.
● Acts as a liaison between the leadership team, and the production kitchen staff.
● Have an understanding of all details pertaining to catering sales and events.
● Ensures consistency of information – makes appropriate changes to supporting documents.
● Coordinates documents and assists Potomac Hospitality leadership and the production kitchen
staff with event planning from conception to post-event follow-up.
● Maintains, safeguards, and reconciles petty cash, invoices, and receipts for catering sales.
● Maintains office equipment and office supplies.
● Types, edits, and proofreads correspondence.
● Processes incoming/outgoing mail in a timely manner.
● Maintains the contact database of customers and vendors.
● Revises/updates projections and evaluations.
● Maintains complete and in-depth files on all future and past events and private parties as directed
by Executive Leadership.
● Practices and observes safety rules and regulations and encourages others to do the same
● Prepares sales kits.
● Performs other duties as assigned.
Qualifications/Skills/Educational Requirements:
High School Diploma or GED preferred, but not required. Prior experience is preferred, but not required.
Must be able to pass a Level II background check
